The booking process

User may reserve MotoGP Vip Village Passes through the Website on the section “Book Now” of the Website, acknowledging that in such process the User shall submit its personal details according to Clause 5 of these terms and conditions. Such procees allows the User to reserve MotoGP Vip Village Passes for different Grand Prix of MotoGP. Upon the completition of the reservation process, the User will receive an e-mail confirming and reservation containing all the relevant details of such reservation. Upon receipt of IES’ e-mail with the details of User’s reservation, the User shall have a period of seventy-two (72) hours to confirm to formalize the reservation and firmly book the required MotoGP Vip Village Passes, always subject to IES’s availability, by paying the relevant MotoGP Vip Village Passes according to the following:

i) Payment must be made in Euros and only by bank transfer to the account indicated in the Website and/or IES' e-mail containing the details of User's reservation.
ii) Full payment is due within seventy-two (72) hours from User's reservation.
iii) Proof of payment shall be sent to IES by e-mail to motogpvipvillage@dorna.com or by fax to + 34 93 4738154.
iv) The MotoGP Vip Village Passes are not officially booked until IES has received proof of payment of the required MotoGP Vip Village Passes.

Upon IES’ receipt of User’s full payment within seventy-two (72) hours from User’s reservation, the MotoGP Vip Village Passes reserved shall become firmly booked.

Should the User fail to pay in full the MotoGP Vip Village Passes within seventy-two (72) hours from User’s reservation through the Website, such reservation will be cancelled and IES shall not be liable before the User or any third party in relation to such cancellation.

Policies

MotoGP VIP Village Passes are strictly personal and non-transferable. They must be worn at all times and in a visible manner. If the holder of a VIP Pass is found in a non-designated area, the pass will be confiscated immediately.

The VIP Village Pass holder acknowledges that his presence in the MotoGP VIP Village can be registered and be broadcast worldwide, for any and all purposes, including commercial and promotional uses. As well The VIP Village Pass holder acknowledges that motorsport can be dangerous, releasing IES and any of its affiliated companies from any liability arising from his presence at the circuit.

Different passes are supplied for each day;

* SILVER for Saturday

* GOLD for Sunday

* A special pass for Friday will be issued for the events in Australia.

Time-table and access maps are provided along with the passes.

Smart casual attire is recommended. No jogging suits or beach wear will be allowed. No pets allowed.

LOST OR UNUSED PASSES WILL NOT BE REFUNDED.

CHILDREN

Children up to 24 months are required to wear a MotoGP VIP Village pass.

Children from 2 to 12 years of age receive a discount of 50% on full price.

Children up from 12 years old are required to pay full price.

STAFF

Co-ordinators of Corporate Areas and company representatives will hold a Staff pass.

Staff pass will include the Pit Lane walk, Paddock Tour, Service Road Tour, Lunch and drinks.

Staff passes are given only for Corporate Areas.

Two Staff passes will be included for each Corporate Area at each GP.

Extra Staff passes can be purchased. Please contact MotoGP VIP Village management for fees and conditions.

MotoGP VIP Village Management reserves the right to issue additional Staff passes and if so, to charge an additional fee and/or impose special conditions as it deems necessary.

SERVICE

All personnel assisting with the assembly and disassembly of Corporate Areas, hostesses and interpreters will hold a special Service Bracelet.

Different Service bracelets will be in use from Wednesday to Friday and from Saturday to Sunday.

The Service Bracelet will not include the Pit Lane walk, Paddock tour, Service Road Tour, Lunch or drinks.

MotoGP VIP Village Management reserves the right to issue additional Services Bracelets and if so, to charge an additional fee and /or impose special conditions as it deems necessary.

VIDEO / CAMERAS

Filming/recording is not permitted in the MotoGP VIP Village Area, Pit Lane, Paddock and Service Road Tour.

CONDUCT POLICY

In using the Hospitality Areas, the client shall follow IES’s Instructions at all times.

Guests must wear their assigned pass at all times.

Terms & Conditions

  1. This website, including any section and/or sub-section accessible through the homepage (henceforth referred to as “the Website”), is the property of, edited by and maintained by INTERNATIONAL EVENTS SERVICES, S.L.U. and/or any parent or affiliated subsidiary (henceforth referred to as “IES”). We request that you bear in mind and take note upon accessing, browsing or utilizing the Website, the User accepts the terms and conditions indicated in this document and any additional terms and conditions indicated in any part of the Website, without limits or reservations.
  2. Any material presented in the Website including, but not limited to, audio, images, software, text and/or video clips (henceforth referred to as “Content”) is protected according to the Intellectual Property Laws. The Content should not be used, apart from in the form specified in this document, and it remains prohibited to eliminate references to copyright or commercial brands and any other corresponding references from the Content. Any unauthorized use of Content will be prosecuted.
  3. The User is only authorized to use the Website for personal purposes. Supply, exchange, modification, selling and transmission of any Content at which the User may have access through the Website for any purpose is not permitted, whether it is for free or paid.
  4. By accessing to the Contents offered via the Website, the User will only have access to view said Content whilst connected to the Internet, for as many times as the User desires whilst connected to the Website. However, the User is not authorised to copy said Content to their computer or any other storage device, nor distribute it to third parties for free or for financial gain. If this is contravened, then the User acknowledges it will be infringing the law and acknowledges to be abide with any corresponding claim that may arise to cure the damages caused.
  5. Visiting the Website does not oblige the User to submit any information of a personal nature. However,  when registering to the Website and booking the services promoted through the Website the User is required to and accepts to submit any personal details, the User is aware of, accepts and recognizes that any information of a personal nature provided remains subject to:

In compliance with the Spanish L.O. 15/1999, 13th December, Data Protection Act, in accordance with the Directive 95/45/CE, of the European Parliament and Council, dated as of October 24th 1995, any personal details given will be stored in a personal data file pertaining to IES. The User is hereby informed about and expressly lends their consent to the incorporation of said details in said file and their use for the ends henceforth mentioned.
    1. The User accepts that IES registers the data file so that it can be used in the manner here indicated. This permission may be withdrawn only subject to request from the User. Notwithstanding the aforesaid, IES may keep the data file until any actions that may arise from the relations between the parties have prescribed. The requested data is appropriate, relevant and not excessive in relation to the final means for which it shall be used, the terms and services required, mentioned and legitimized by IES as supplier of said services.
    2. The User expressly recognizes and accepts that IES utilizes the collected information for the following purposes: the technical administration of the Website, the investigation and development to the end of obtaining and maintaining a high level of service and for the information of clients (newsletters), personalizing the Content seen by the User, to carry out the sending of requested information, products and/or services to the User, and in order to contact the User in relation to special themes such as new products/services. Unless the User expressly declines it, IES will use his/her personal identification information to keep the User informed of information and offers related to the MotoGP Vip Village area or the MotoGP and/or other competitions in which IES, or any of its parent or affiliated companies, may be involved. IES reserves the right to send this information to third parties related to IES, or to any of its parent or affiliated companies, to the Vip Village area, to the MotoGP and/or to other competitions.
    3. The User expressly recognizes and accepts that IES may send the information provided by the User to third companies for commercial and/or promotional purposes, either for IES or for such third companies. IES will require to the receiving parties of User’s information to treat such information complying with the relevant applicable law.
    4. The User holds the right to access said information, to correct it if the details are incorrect and/or to request the cancellation of the aforementioned file. This right can be exercised by contacting IES through the email motogpvipvillage@dorna.com or through letter addressed to: Narcis Monturiol 2, 08960 Sant Just Desvern (Barcelona) SPAIN.
    5. When proceeding with the collection of details, the voluntary or obligatory nature of such details will be clearly indicated. Declining to supply details considered obligatory will lead to the rejection of accessing the service for which they are required.
    6. If the User acquires from IES a MotoGP Vip Village Pass though the Website or by any other means and becomes a “MotoGP Vip Village Pass Holder”, the User/ MotoGP Vip Village Pass Holder expressly accepts and abides to be bound by the conditions set out in the MotoGP Vip Village Condition and IES Policies, which the User acknowledges and expressly accepts, as well as any other conditions determined by IES from time to time and/or as displayed at the Grand Prix to which the MotoGP Vip Village Pass grants access to, as well as by the terms and conditions of the Website. 
  7. Specifically and in relation to the MotoGP Vip Village Passes reservation and booking, the User hereby acknowledges and accepts the following conditions:
    1. RESERVATIONS AND BOOKINGS: User may reserve MotoGP Vip Village Passes through the Website on the section “Book Now” of the Website, acknowledging that in such process the User shall submit its personal details according to Clause 5 of these terms and conditions. Such procees allows the User to reserve MotoGP Vip Village Passes for different Grand Prix of MotoGP. Upon the completition of the reservation process, the User will receive an e-mail confirming and reservation containing all the relevant details of such reservation. Upon receipt of IES’ e-mail with the details of User’s reservation, the User shall have a period of seventy-two (72) hours to confirm to formalize the reservation and firmly book the required MotoGP Vip Village Passes, always subject to IES’s availability, by paying the relevant MotoGP Vip Village Passes according to the following:

        Upon IES’ receipt of User’s full payment within seventy-two (72) hours from User’s reservation, the MotoGP Vip Village Passes reserved shall become firmly booked.

        Should the User fail to pay in full the MotoGP Vip Village Passes within seventy-two (72) hours from User’s reservation through the Website, such reservation will be cancelled and IES shall not be liable before the User or any third party in relation to such cancellation.

    2. DEADLINE FOR BOOKINGS Lounge bookings must be confirmed to IES and the corresponding bank transfer receipt forty five (45) days before the event, at the latest. Admission is always subject to availability.
    3. The only accepted method of payment is via a bank transfer (bank details are on the Registration Form). The MotoGP Vip Village Passes are not officially booked until IES has received proof of payment of the required MotoGP Vip Village Passes.
    4. Only after receiving proof of payment IES will send the acquired MotoGP Vip Village Passes by courier. Invoices will be sent accordingly.
    5. CANCELLATION FEES: All and any cancellation shall imply at least, a cost of 10% in exchange of IES’ administrative expenses.
      - More than 45 days prior to the event: 10% of the total amount will be kept by IES in exchange of IES’ administrative expenses.
      - From 45 to 30 days prior to the event: 50% of the total amount will be kept by IES in exchange of IES’ administrative expenses.
      - Less than 30 days prior to the event: 100% of the total amount will be kept by IES in exchange of IES’ administrative expenses.
    6. Should any Event not be finally held or be fully cancelled, IES will only reimburse the amount paid for the booked MotoGP VIP Village Passes, not being responsible for any further or additional expenses incurred in relation to other services not provided by IES. IES will only respond to the person who made the reservation, not to any final holder of the MotoGP VIP Village Passes.
    7. MOTOGP VIP VILLAGE POLICIES:
      • MotoGP VIP Village Passes are strictly personal and non-transferable. They must be worn at all times and in a visible manner. If the holder of a MotoGP Vip Village Pass is found in a non-designated area, the pass will be confiscated immediately.
      • The MotoGP Vip Village Pass holder acknowledges that motorsport can be dangerous and understands and voluntarily accepts all such risks and dangers, releasing IES and any of its affiliated companies from any liability arising from his presence at the circuit.
      • The MotoGP Vip Village Pass Holder hereby waives any and all claims it may now have, and in the future have against, and releases from all liability, and agree not to sue and to indemnify and hold harmless, IES including its parent or affiliated compamies, together with their directors, members, officers, employees, agents and representatives for any personal injury, death, damage or loss of any kind suffered or sustained by the MotoGP Vip Village Pass Holder as a result of or in connection with the presence at a MotoGP Grand Prix.
      • The MotoGP VIP Village Pass holder acknowledges that his presence in the MotoGP VIP Village can be registered and, for good and valuable consideration which the MotoGP VIP Village Pass holder acknowledges receipt, the MotoGP VIP Village Pass holder hereby grants in exclusivity to IES, and/or any of its affiliated companies his/her image and voice rights arising out from his/her presence in the MotoGP (in perpetuity and worldwide) of whatever registrations and audiovisual recording (whatever it may be its support or media), for any and all  uses, including commercial and publicity uses,  in any known or  and/or in the future developed support or media.
      • In using the Hospitality Areas, the MotoGP Vip Village Pass Holder shall follow IES’ Instructions at all times.
      • MotoGP Vip Village Pass Holder must wear their assigned pass at all times.

  8. International Events Services, S.L.U is not responsible for any MotoGP Vip Village Pass, tickets or services offered by or purchased from different parties other than International Events Services, S.L.U. or any of its authorized agencies. 
  9. The User is obliged to comply with any additional conditions indicated on the Website, likewise any conditions able to be modified in accordance with necessary through a change in law. IES will be permitted to modify any part of the present Terms And Conditions of Use at any given moment, at it sole discretion and without prior notice to the User. Continuing to use the Website after such changes have been published indicates an acceptance of said changes. IES reserves the right to modify, cancel, alter replace, change, interrupt or suspend any Content published on the Website, be it temporary or permanent, without prior notification or assuming any responsibility.
  10. The User acknowledges and recognizes that transmissions through the Internet are never totally private and secure, unless indicated to the contrary. Sending a message to IES does not imply that IES has special responsibility as regards the User.
  11. IES offers links to other websites solely for the convenience of visitors, and is not responsible for the content of any page accessed through the Website. The existence of links to any other page from the Website does not mean that IES approves of, subscribes to or recommends said page. IES is not responsible for Content from third parties. IES absolves itself of any guarantee, explicit or implicit, in relation to the accuracy, legality, exactitude or validity of any other page.
  12. IES assumes no responsibility, including but not limited to, negligence on the side of IES, for any loss or damage caused to computers or software deriving from use of the Website, or from the downloading of material, data, text, images, audio or video from the Website, whether it be caused by a virus or any other form.
  13. The present Terms and Conditions of Use, and any other additional conditions published on the Website, constitute a full agreement between IES and the User in relation to the use of the Website. The present Terms And Conditions Of Use are subject to Spanish law, without reference to legal norms, and in the case of a dispute the User it will be submitted to the jurisdiction of the Courts of Madrid, Spain.
